The University of St. Thomas invites qualified candidates to apply for a Gift Compliance Accountant position within the Development office of Institutional Advancement.

 

Reporting to the Director of Gift Compliance and Accounting, the Gift Compliance Accountant is responsible for analyzing and reconciling funds for departments and schools across campus, auditing the daily receipt process, and coordinating event/sponsorship documentation and proper recording. In addition Gift Compliance Accountant manages and monitors the state registration process and coordinates with Gift Officers on gifts assigned to the holding account (an identifying proper designation).  The gift compliance accountant is also responsible for preparing complex gifts for processing, and providing backup support to gift processing specialist.  The gift compliance accountant is also responsible for working with development officers regarding letters of intent, scholarship agreements, and stock gifts.

 

Essential Functions:

  • Analyze and reconcile funds (between Banner and the corporate ledger) including identifying gift and pledge activity for various departments and schools across campus annually and as requested. Manage requests for fund balances and purpose.  Complete donor reconciliations and analysis when needed (developing analysis by donor for pledge and gift activity).
  • Manage state registration process and gift annuity registrations for Institutional Advancement; creates and manages process, including audits, for compliance with state laws and ensures registration with states in which gifts are solicited; coordinates with the Controller's Office and tax personnel to identify and process necessary forms and documents for each state registration. Stays current with updated regulations, as they can frequently change.
  • Audit daily gift receipts verifying appropriate activity. Coordinate daily receipting process with Stewardship.
  • Under the direction of the Director for Gift Compliance and Accounting coordinate compiling sponsorship and event documentation and ensuring proper recording and tracking for the University's 990 tax return; coordinates sponsorship agreement, gift receipting and acknowledgment.
  • Coordinate with development officers and gift processing regarding gifts in the holding account to ensure gifts are properly recorded to designations and spent to donor intent; ensures proper documentation, tracking and communication for all gifts assigned to the holding account. Coordinates fund clean-up as necessary.
  • Coordinate documentation for new fund development. Once approved, set up new designations in Banner and ensure proper coding.
  • Coordinate with development officers and director of gift compliance and accounting to ensure sign-off (President and donor) and proper documentation for:
    • Letters of intent and pledges; ensures documentation for gift entry is completed, in Optix and properly communicated to the development officer.
    • Scholarship agreements; works with the Controller's Office to establish the new fund; ensures documentation is complete, in Optix, and disseminates copies of the scholarship agreement to the gift officer, financial aid, finance, and the appropriate school/college.
  • Analyze and prepare complex gifts for gift entry (including coordinating all stock gifts). Support gift processing during periods of heavy volume. Execute special projects providing detailed analysis and recommendation. Must be able to perform all functions of the Gift Coordinator position.

Minimum qualifications Bachelor's degree in Business/Accounting and one year of work experience in Finance or Accounting roles.

 

Preferred qualifications Higher education experience is preferred.  

 

Knowledge of Computer applications related to the work (Excel, Word, Outlook); ability to create and maintain spreadsheets and basic graphics software; records management principles and practices; standard office practices and procedures, including filing and the operation of standard office equipment; correct business English, including spelling, grammar and punctuation; techniques for dealing with a variety of individuals, in person and over the phone; understanding of basic financial analysis; ability to manage complex projects.

 

Skills in : Understanding and following oral and written directions; working without close supervision in standard work situations; assisting in developing and implementing goals, objectives, policies, procedures and work standards; provides customer services in the most cost effective and efficient manner; preparing clear and concise reports, policies, procedures, correspondence and other written materials; using initiative and independent judgement within general policy guidelines; taking initiative and making effective decisions; establishing and maintaining effective working relationships with those contacted in the course of the work.
